Job Description

Job Purpose: The Administrative Assistant performs a variety of administrative duties with a priority given to assisting the Development Program. Many duties will be accomplished by the work order system.


  1. Assists the organization with administrative support to include special events, projects, production of printed materials, mass mailings, etc.
  2. Assist with scheduling for clients and volunteers.
  3. Acts as a liaison by answering the agency administrative office telephone lines.
  4. Provides administrative support for Board of Directors including transcribing Board minutes and preparation of monthly Board packet.
  5. Ensures the adequate maintenance of office equipment including copier, postal meter, etc.
  6. Creates forms, documents, reports, and all there documents as needed.
  7. Photocopy and fax information, documents, and files as needed
  8. Assures readiness of outgoing mail daily.
  9. Prepares and delivers interagency mail as requested.
  10. Records, transcribes and distributes meeting notes for the staff and board meetings and all other meetings as assigned.
  11. Copies and circulates materials to all programs. Ensures that the administrative desk area is clean and organized. Assist with admission of new clients and discharge procedures for outgoing clients.
  12. Provide crisis intervention and de-escalation techniques to clients that are in need. Conducts close observations and maintains special precautions as ordered. Demonstrates the ability to maintain a safe, therapeutic environment.
  13. Assists and supervises clients with ADL'sPerform other related duties and assignments as required.
  14. Ensure safety of clients, program and the public at all times. Transport clients to various appointments and activities including medical, dental appointments, court hearings, scheduled, and authorized outside activities. 
  15. Monitor client activities and behavior, maintain custody of client and conduct informal individual counseling, while offsite. Complete all required training such as DCF, ACHA, DJJ, PAR, and behavioral health modification techniques


Job Requirements

Position qualifications: Ability to receive and maintain a(n)

  • Level II Background clearance
  • Acceptable Motor Vehicle Registration driver’s license record in accordance with the underwriting guidelines set by Aspire’s insurance company as described in the AHP Corporate Transportation Policy 3.9.1
  • High School diploma or GED required

Other qualifications: Min. of 2 years’ experience or equivalent in insurance, data entry, billing collection and has good customer service skills.
