Job Description

Job Purpose:

The Administrative Assistant performs a variety of administrative duties with a priority given to assisting the Development Program. Many duties will be accomplished by the work order system.

  • Assists the organization with administrative support to include special events, projects, production of printed materials, mass mailings, etc.

  • Assist with scheduling for clients and volunteers.

  • Acts as a liaison by answering the agency administrative office telephone lines.

  • Provides administrative support for Board of Directors including transcribing Board minutes and preparation of monthly Board packet.

  • Ensures the adequate maintenance of office equipment including copier, postal meter, etc.

  • Creates forms, documents, reports, and all there documents as needed.

  • Photocopy and fax information, documents, and files as needed.

  • Assures readiness of outgoing mail daily.

  • Prepares and delivers interagency mail as requested.

  • Records, transcribes and distributes meeting notes for the staff and board meetings and all other meetings as assigned.

  • Copies and circulates materials to all programs.

  • Ensures that the administrative desk area is clean and organized.

Job Requirements

Position Qualifications. Ability to receive and maintain a(s):

  • Level II Background Clearance

  • Minimum of 2 years of experience in an administrative role, preferably from a non-profit agency.

  • Experience in general office/business setting required.
